Poster POS integration is tailored for vessel operators to streamline onboard sales and inventory management. It enables a one-way transfer of guest information from Inseanq to Poster, ensuring the Poster customer database remains up-to-date. Onboard staff can easily access important guest preferences, such as dietary requests, improving the overall guest experience.
How to set up Poster integration
To set up Poster integration you have to be registered in the Poster POS application
Once enabled the Poster integration will appear as a new submodule inside the Integrations module in the left navigation bar.
Follow these steps to complete the setup:
Enter your Poster account name (Poster account subdomain) into the “Account” field. For example, if your account URL is test.joinposter.com, your subdomain is test. Click the Get connection button, and a new page will open.
If needed, log in to your Poster profile in the newly opened tab. Click on the Grant access button to allow Inseanq to make changes to your Poster profile. You`ll be redirected to the Inseanq start page.
Copy the one-time use code from the URL, which appears between “code=” and “&account”. For example, in the link https://app.inseanq.com/?code=1f1b2639e05f8c30061f101727965278&account=test, the code is 1f1b2639e05f8c30061f101727965278.
Return to the “Poster integration” page in your Inseanq profile. Past the copied code into the “Code” field and click the Confirm button
You will see the “Successful” message indicating that the setup is completed.
Data transferring
Once approved (i.e. guest form status has been changed to “Cleared for boarding”), the guest form will be automatically sent to Poster.
The following guest data will be transferred:
Full name
Phone number
Email
Date of birth
Country issued
Dietary requests
ID of the linked customer (if applicable)
If you want to track guest activity in both systems, please make sure you link the particular guest with the corresponding guest’s record in your Customer database before approving the form. The Customer ID will appear in the Poster application as the “Profile number” value.
Bulk transferring
Once you’ve completed the integration setup, you can transfer all existing guest forms in “Cleared for boarding” status to Poster. Click the Resync button in the status bar to initiate the bulk transferring process. Any guest forms that previously failed to be transferred will also be re-sent with this action.
Log of transferring
You can find a list of sent guest forms below the status bar, containing the following essential information:
Guest form ID – navigates to the corresponding guest form
Export date – the date when the guest form was sent
Name – the guest’s full name that was sent to Poster
Phone – the guest’s phone number that was sent to Poster
Error message – explains the reason for a sending failure
Poster ID – the ID of the record in the Poster Customer database
Status – indicates whether the form is Created, Updated, or Failed
Please note: The list of sent guest forms contains the data that was actually sent to Poster. If you want to update an already-sent guest form, you should reopen and reapprove it to trigger the transfer process again.
GDPR Compliance
Data deleted upon a guest’s request will not be removed from Poster automatically. You must manually delete the required guest’s data in the Poster application.
