Guest Forms notifications

Here's a summary of the automatic notifications :

New Guest Form is Available

  • Guest is invited to access and fill out the online guest form

  • Agent (if applicable) gets notified that their client needs to fill out the form

Guest Form is Submitted and Waiting for Review

  • Vessel is notified that a form was submitted and is available for review

  • Agent (if applicable) is notified that a form is submitted and is available for review

Guest Form is Reopened

  • Guest is advised that the form was re-opened allowing them to edit/add missing information

  • Agent (if applicable) is advised that the form was re-opened allowing them to edit/add missing information

Guest Form is Approved (Guest is Cleared for Boarding)

  • Guest is notified that their form is approved

  • Agent (if applicable) is notified that their client's form is approved

Guest Form is Rejected (Not Cleared for Boarding)

  • Guest is notified that their form is rejected

  • Agent (if applicable) is notified that their client's form is rejected

Delete data request

Email is sent by the system when the client sends a removal request of the GF, and the Fleet Manager receives a notification

Guest form first reminder

Email is sent by the system if Guest Form status is either New OR In Progress AND 5 days (120 hrs) left before GF submitting deadline.

Guest form last reminder

Email is sent by the system if Guest Form status is either New OR In Progress AND 1 day (24 hrs) left before GF submitting deadline.
