How to manage personal data of your guests

The Guest Form Application is one of the core modules helping you to prepare for the trips, and each guest is asked to complete the application with personal information prior to arrival.

Whereas the information inside the guest form is required to fix permissions and provide the quality service onboard, guests have the right to request deleting their personal information after the booking is completed, cancelled or expired. Inseanq ensures guests have the right to erasure ('the right to be forgotten as per GDPR'). There are two ways to handle such requests inside the system.

The guest requests deleting his personal information through guest profile

Guests registered in the system can send request to delete personal data via options/booking tab inside their profile. This type of request can be sent only if the corresponding booking is cancelled, expired or completed.

Vessel manager will receive a corresponding email notification. Please follow one of the following ways / steps to process the request:

  • Open the Guest forms module in the left navigation bar, locate the trip, you will see the guest form which requires deleting highlighted accordingly, click on Delete by request, reconfirm deleting of the guest form (for completed reservations only)

  • OR open Option/bookings module in the left navigation bar, locate the required reservation (it will be highlighted accordingly), open it, click on Guest forms tab, guest form which requires deleting will be highlighted accordingly, click on Delete by request, reconfirm deleting of the guest form

  • OR (for Pro+ only) open Customers -> Guests module in the left navigation bar, locate required guest's card, open it, click on Guest form tab, guest form which requires deleting will be highlighted accordingly, click on Delete by request, reconfirm deleting of the guest form

Deleted guest form applications will disappear from the Guest form module, corresponding option/booking, from the guest/s card.

The guest requests deleting his personal information via another channel

If you have received a request to delete personal data of the guest via another channel (via email, phone, etc.), you may delete the guest accordingly via Guest forms module, Options/bookings or guest's card by using delete icon.
