In situations where integration with the current system of the Vessel operator cannot guarantee the real-time data exchange and availability that are required for immediate booking, a booking request may be used. We recommend you to consider the booking requests as requests for tentative options, as they provide the necessary data for Vessel operator to proceed.

New booking request for individual guests/groups

From the Availability module click the triple dot symbol to the right of the trip to which you would like to add a booking request.
Click 'Send request'

Alternatively, click on the trip to zoom in and click 'Send request' on the screen that opens up to the right.

On the 'Booking request' screen that opens up:

  • Review trip & price details

  • Select the applicable rate plan / special, and proceed to cabin type selection

  • In the chosen cabin type, on the right of the required occupancy use +/- controllers to indicate the required number of guests

In the booking request summary box to the right:

  • Select the name of the particular agent from the drop-down (if applicable)

  • Enter the lead guest's name (optional)

  • Specify details in the comment box (visible to the agency and Fleet manager)

Click Send request' to finalize

Automatic notifications will be sent to you and the Fleet manager

Tip: for booking requests created under a rate plan for groups, once the minimum number of paid guests requirement in the rate plan is met, free of charge (FoC) or discount will be applied automatically.

Booking requests management

To view the list of booking requests, please go to the left navigation bar and select the corresponding tab.

Click on the booking request to view details.

You can use the pencil icon on the right of the request's status, or the three dots menu in the list of requests, to change the status of the booking request to Cancelled if your guests are no longer interested. In the pop-up window, please indicate the reason for the request cancellation. The entered text will be added to the notification sent after the status change.

Vessel operator is able to Approve (when Vessel operator can accommodate the booking request) or Decline (Vessel operator can't accept the booking request) the booking request. You will receive a notification accordingly.
