Sync trips is an advanced feature allowing availability synchronization between different products sharing the same trip dates and the Vessel. It is designed to be used in cases where Vessel operator offers two Products (i.e., two different programs with unique included services and different prices) on the same trip.
To enable this feature, please go to Settings -> General Settings on the left side navigation bar and enable Trips synchronization.
Open Availability on the left navigation bar. You will see Trip Sync button in the right upper corner.
Click on it to open Sync trips modal.
Select the vessel, select Product 1, select Product 2. Kindly note that only the Products with the same duration will be available in the drop-down. Click Save
Tip: Please add all the trips you would like to synchronize the availability prior. In case you add new trips after you run the sync, you will need to pair up the Products once again
Tip: Please note that trips with already added options/bookings will not be synchronized
The sync icon will appear in your Availability to mark Synchronized trips.
Availability and options/bookings on Sync trips
Options/bookings flow remains unchanged - if you would like to create an option, you will need to select required trip and proceed as normal.
Availability on Sync trips is calculated based on the number of optioned/booked guests on both trip so the number of guests on both trip won't exceed the Vessel's capacity / available spaces.
The number of optioned/booked spaces (in yellow and red) is calculated independently for each trip and shows the numbers for corresponding trip only while availability (green circle) shows how many spaces on the Vessel are still available and usually the number will be the same of both sync trips.
When you zoom into the trip details, you can see the details of available and optioned/booked spaces for both sync trips. If you have opened trip A sync with trip B, you will see options/bookings made on trip B with the sync icon displayed next to it.
Warning: Please note that at the moment, Relocate and Rescheduling features are not available for options/bookings made on Sync trips
Maximum occupancy on Sync trips
If you would like to limit the number of guests on each trip, you may want to use maximum occupancy feature. Maximum occupancy on sync trips may be different for each of the sync trips and only limits the number of guests optioned/booked on a particular trip.
For example, our Vessel has a physical capacity of 22 spaces.
Maximum occupancy on the trip A is 18 and maximum occupancy of the trip B is 10.
If you are going to book 4 guests on the trip A the availability of this trip will decrease to 14, however it will remain unchanged on the second trip as physical capacity of the Vessel still allows us to take 10 guests more.
If afterwards we will book 2 guests on the trip B the availability on this trip will decrease to 8 and availability of the first trip will remain unchanged because of the physical capacity of the Vessel. However if you will book 6 more guests on the Trip B the availability on the Trip B will decrease to 2 and availability on the trip A will decrease to 10.
The formula behind this process is as follows: to calculate the number of available spaces for particular trip the system will take the minimal value from the difference between physical capacity of the vessel and optioned/booked guests on both trips VS difference between set number for maximum occupancy on this trip and optioned/booked guests on this trip.
Trip manifest report
In addition to possibility to download Trip Manifest report (Excel) you can now download Trip manifest report for Sync trips containing all the information from the guest forms applications for both trip in one Excel file.
