Overview of the modules accessible through the left navigation bar

Dashboard will be the first screen welcoming you when you login to the system. It aims at providing an overview of the key figures in daily work in one place. Here you can review payments & payments flow, check options which require your attention and see the status of upcoming trips.

Availability is the core module which hosts the schedule of all your trips, along with the pricing details and number of spots in each of the three states - available, on option and booked. The filtering tools on top assist in identifying trips that meet the set criteria - such as date range, itinerary, cabin type and number of spaces available.

You can zoom in on any trip and review its details such as pricing, list of guests, occupancy types, source of options/bookings (i.e. direct or through which agent) and expiry dates for optioned spaces.

Furthermore, you can change trip status to 'confirmed', modify prices, initiate new options and move guests between cabins.

Options / bookings

Under Options / bookings you can access and manage bookings at all states of the booking confirmation cycle and coming from the various sales channels, including bookings initiated through the Widget on your website. 

Within any option or booking, you can review and update its details, manage commission and surcharges, modify the payment schedule, and record payments.

Through Guest forms module you can send unique links inviting your guests to fill out your online form, track progress in real time and conveniently access all completed forms. Please note that agents may fill out forms on their clients' behalf.

Once completed, you can download the individual forms in PDF (including any attachments such as passport copies), as well as a summary in Excel in preparation for the sailing.

Under Transactions module you can review and manage status (not paid, pending and paid, etc.), send payment reminders and record transactions. Use filtering and search tools on top to help find the transactions you need.

Waiting list functionality allowing your customers to be added to waiting lists on fully booked trips to be notified if spaces become available. The list of Waiting list requests is found under Options & bookings tab of the left navigation bar.

Prices

Inseanq offers innovative tools for managing prices that were designed specifically for the vessel diving industry. 

Prices module helps you organize prices for individuals, groups and full charter in one place and includes easy-to-use tools for bulk editing and automatic calculation of prices.

Under this module you can also specify for each trip if it's open to individual, group and full charter bookings based on your seasonal sales goals, and if needed block out certain weeks from booking.

Rate plans are setup for each of the major types of bookings - individual, group, and full charter. In each rate plan you need to identify the applicable booking policy and cancelation policy (from the options you specified earlier) as well as select applicable standard discounts.

For group bookings, you can setup conditions for complimentary spaces (such as number of paid spaces per one free space) as well as cabin type and occupancy offered for the free of charge space. For full charter, specify if the rate is net or commissionable.

Setup specials including basic % discount, early bird, last minute, and free spaces (for group reservations).

Create custom booking policies, specifying % (alternatively, you can specify $ amount) and timing of payments required to confirm the booking. You can create multiple booking policies that apply to different types of bookings, such as individual, group and charter.

In the cancellation policies, specify % (alternatively, you can specify $ amount) charged in case of cancellation based on the number of days prior to embarkation. 

Create standard discounts - applicable per guest or to overall booking, and specified as a % or $ amount. You can create multiple discounts to select from, including loyalty programs, price reductions for non-diving guests, discounts for return customers and seniors, or other custom discounts.

Under the Agents module you can invite the agents you work with by sending them a unique link or direct invite by specifying their email.

Once enrolled, the agents are granted access to your schedule and ability to create options from their portal. Depending on what you specify in Settings, agents may put spaces on hold instantly, or send requests that require your review and confirmation. 

For each agent, you can modify the standard % commission as well as the number of days allowed to confirm booking before option expiry. You can also disconnect specific agents at any time.

Products & Extras

Products module is where you setup and manage the different itineraries that you offer. You can specify details including price inclusions, required obligatory surcharges and the day-by-day program of each trip. 

To save time, you can make copies of existing products and edit them as needed.

Extras module allows you to create several types of extras such as Tax (set in %), Obligatory Surcharge, Equipment rental, Courses and Extra services.

Reports module has been created to help you gain insight into your operations, including sales, trip performance and cash flow.

Widgets module will help you to set up multiple custom widgets. You will be able to choose specific liveaboards and products, rate plans and/or specials to be displayed on the different pages of your website.

All created widgets will be displayed in a list. You can easily deactivate, copy, delete, edit or preview any of them.

Widget settings

Embedding a widget into your website enables not only displaying real-time schedule and availability but also direct online sales. Based on your settings, clients may put spaces on hold instantly, or send requests that require your review and confirmation. You can specify the number of days before option expiry and set out the applicable Terms & Conditions. Additionally you can turn on a special page which allows adding Extra Services while booking.

The unique Widget code is available to copy and embed into your website.

Settings

General settings include default commission %, enabling agents to create options (instantly putting spaces on hold), standard number of days before option expiry, enabling adding Extra Services while booking, deadline for guest form application submitting, email notifications settings, timezone, units & currency.

Under Cabins you can manage the details of the cabins on board of each of the vessels. Setup cabin types (such as Standard, Deluxe, etc.) and then add and customize individual cabins of each type.

Under Payment methods you can create and manage payment methods (wire transfer, payment by card) available to your resellers and direct customers.

Customer database is one of the core features in Pro+ subscription plan that allows to collect and store the essential information about your guests / agents. It enables gathering the general information about their options/bookings in a convenient layout in addition to facilitating credit notes management.

You will find a 'Customers' tab, a separate module, in the left navigation bar. There are two different sections inside this module. Guests section provides you with access to the list of your Guests and Agents section stores the information about your resellers respectfully.
